Planning corporate headshots for your team sounds simple… until you’re the one coordinating schedules, answering wardrobe questions, and trying to get an entire office on the same page.

For office managers, admins, and team leaders, organizing a headshot day can quickly turn into a logistical headache.

But it doesn’t have to be.

With the right plan in place, corporate headshots can be efficient, organized, and even enjoyable for your team. In this guide, I’m walking you through how to plan a seamless headshot day — so you can feel confident from start to finish.

Why Corporate Headshots Matter More Than Ever

Before we dive into the planning process, let’s talk about why corporate headshots are worth doing right.

Your team’s photos show up everywhere:

  • LinkedIn profiles
  • Company websites
  • Email signatures
  • Marketing materials

When those images are inconsistent, outdated, or low-quality, it reflects on your brand.

Professional, cohesive headshots instantly communicate credibility, professionalism, and trust — before anyone even meets your team.

The Real Challenges of Planning Corporate Headshots

If you’ve been tasked with organizing corporate headshots, you’ve probably already run into a few of these questions:

  • How do I schedule everyone without disrupting the workday?
  • What should employees wear?
  • How long does each session take?
  • How do I communicate expectations clearly?
  • What happens if someone hates their photo?

These are the exact challenges that turn a simple idea into a stressful experience.

The good news? With a little structure, all of this becomes manageable.

How to Plan Corporate Headshots for Your Team (Step-by-Step)

Step 1: Choose the Right Date and Format

Start by deciding whether your corporate headshots will be done:

  • On-site at your office
  • In a studio
  • Or as a hybrid option

On-site sessions are often the most efficient for teams, allowing employees to step in and out quickly without leaving the building.

Step 2: Plan Your Schedule in Advance

The key to a successful headshot day is organization.

Create a clear schedule with time slots for each employee. This keeps the day moving smoothly and minimizes downtime. Tara can help with this task by creating a link to a scheduler where everyone can sign up for a time that’s best for them.

A well-planned corporate headshot schedule ensures everyone knows exactly when to show up — and keeps your photographer on track.

Step 3: Communicate Clearly with Your Team

This is where most headshot days fall apart.

Your team needs clear guidance on:

  • When their session is
  • Where to go
  • What to expect
  • What to wear

Without this, you’ll spend the day answering the same questions over and over.

Step 4: Prepare Your Team for Success

Preparation makes all the difference in how your corporate headshots turn out.

Encourage your team to:

  • Choose solid, professional colors
  • Avoid busy patterns
  • Bring an extra outfit if possible
  • Arrive on time and ready

A little preparation goes a long way in creating polished, cohesive images.

Step 5: Work with a Photographer Who Can Handle Volume

Not all photographers are equipped to handle corporate headshots for a full team.

A strong volume headshot experience should include:

  • Efficient posing and direction
  • Consistent lighting and backgrounds
  • A streamlined workflow
  • A comfortable, positive experience for your team

The goal is to create high-quality images quickly — without sacrificing professionalism.

Mid-session. Camera in hand. Client in front of me…
and suddenly my camera starts throwing error codes.

I turn it off. Pull the battery. Take the card out.
Put everything back in and hope it works again.

And then it happens again.

Three memory cards failed on me during that shoot.

After that, I switched to Sony Tough cards—and haven’t had an issue since.

It’s one of those things you don’t think about… until you’re in a high-pressure moment and your gear has to perform.

📥 If you’re a photographer and want a breakdown of the gear I actually use and trust, I’ve put together a guide—link in bio.

👇🏼 But I'm curious, what cards have been working for you?
It’s never just pressing a button.

It’s reading the room.
Adjusting in real time.
Knowing how to bring out confidence—even when someone feels uncomfortable in front of the camera.

The technical side matters.
But the connection, the instinct, and the ability to see what others don’t… that’s what turns it into something more.

📩 If you’re ready for photos that feel like you, you can book through the link in my bio.
Come along with me as I set up for a headshot + branding session 👇🏻

When you’re just getting started, it’s easy to think you need all the gear before you can take on client work.

You don’t.

For in-office headshots, a solid setup really comes down to a few essentials:
✅ reliable lighting
✅ a strong lens
✅ a backdrop
✅ reflectors to help control light and keep skin tones consistent

That’s how I’m able to create clean, professional headshots—without being in a studio.

And for branding? That’s where I shift.

Instead of a backdrop, I’m using the client’s space—capturing environmental images that feel more natural, personal, and aligned with their business.

Same session, two different approaches—both intentional.

Because at the end of the day, it’s not about having more gear…
it’s about knowing how to use what you have.

📥 If you’re a newer photographer, I’ve put together resources to help with gear, lighting, and posing—click the link in my bio to check them out!
